Fiscal Consideration

These contracts would be used when Alachua County is impacted by a disaster and needs recovery services. At that time, the Budget Office and Board would determine the funding source. An amount not to exceed of $500,000.00 (10% of $5M) is included to allow staff to operate with the vendor, monitor expenditures and if necessary, amend the contract if the disaster services exceed the set amount.

Background:

Alachua County issued request for proposals from qualified vendors to provide Disaster Related Recovery Services. Services include all federal and state disaster-related grant and public assistance services. With the ever-changing laws and rules related to federal and state assistance, and the regular workload of County fiscal staff, it has become increasingly difficult to successfully and timely submit public assistance claims.

These contracts includes an amount not to exceed $500,000.00 (10% of $5M) which is an estimate of a large disaster impacting Alachua County. The Manager will be authorized to sign all future contract amendments. The funding source would be determined at time of incident by the Budget Office and authorized by the Board or Manager depending on the amount.

RFP 23-76 Disaster Related Recovery Services was advertised on July 27, 2022.  The deadline for receipt of RFP 23-76 Disaster Related Recovery Services was September 7, 2022, six (6) vendors responded.
