Background:

The Solid Waste and Resource Recovery (SWRR) Department had two payments go over the Purchase Order Amounts, so special pays are being requested to authorize payment to the vendors for services rendered.

Accent Wire:

With the volatile metal market rate and need to make sure there was sufficient baling wire on hand with the pending arrival of Hurricane Ian, an order was placed which exceeded the remaining balance on the purchase order. There was $6,930.98 remaining on the purchase order and the invoice was for $7,898.08 (Invoice #9971652) so a special pay needs to be approved to pay the difference of $967.10.

Pritchett Trucking Inc

A missed prior invoice (in the amount of $11,986.61 from 8/6/22) in tracking the remaining balance and the pending arrival of Hurricane Ian (with the need to haul as much waste away from the transfer station as possible) caused the final invoice of $16,26.50 (Inv #74503) to exceed the remaining balance of $4,649.21 on the purchase order by $11,777.29. A special pay in the amount of $11,777.29 needs to be approved to pay the vendor for services provided.
