Description:
This agreement with AK Associates, INC provides maintenance of the Combined Communications Center (CCC) 911 telephone system that includes technicians in the CCC three days a week as well as on-call services 24x7x365.

This purchase is exempt from the County's competitive bidding requirements pursuant to Section 22.11(5) of the Alachua County Purchasing Code, which permits the use of Sole Source purchases as provided in Section 22.12 of the Purchasing Ordinance.

Fiscal Year 20 911 Office budget is $59,750 which is 50% of the annual operating cost of $119,500 with 1% annual increases. CCC pays the remaining 50%.
Budget dollars are already allocated and the Purchase Order executed. This request is for the execution of a contract. The budget is in line item 126.54.5471.529.41.00.
The annual contract amounts for the three days a week are as follows:
Year 1 10/1/2019-9/30/2020 $119,500.00
Year 2 10/1/2020-9/30/2021 $120,695.00
Year 3 10/1/2021-9/30/2022 $121,901.95
Year 4 10/1/2022-9/30/2023 $123,120.97

Background:
AK Associates provides 911 telephone system maintenance three days a week as well as on-call services. AK Associates services initially began in September 2010. Maintenance support includes all thirty-four 911 answering positions in the CCC and ten in the backup 911 center. Additionally, AK technicians act on behalf of the County, under direction of the County 911 Coordinator, when corresponding with service providers such as AT&T on all matters associated with 911 services.
