Gay Fire & Integrated System Inc., in the amount of $97,920.00, for Purchase and Installation of the Card Reader System at the Alachua County Fire Rescue Headquarters and various Fire Rescue Stations project managed the Public Works Department, Critical Facilities. Prices, terms and conditions are per approved Sole Source.

Prior Board Motions:
November 12, 2019, Board approved the Sole Source and Purchase Order 20-1031 for the purchase of the card reader system software and hardware.

Sufficient budget exists in accounts: 001.19.1912.529.46.00=$50,000, and 011.54.5480.522.46.00=$50,000, in the General Fund and MSBU-Fire Services Fund project #6215401.

Background:
Card readers enhance security and convenience for all occupants and users. Software upgrades were completed in 2020 by WW Gay (Card Access Division). These upgrades provided advanced technologies making the card readers more reliable to the end users.
Back in the late 90s, the County installed card readers in various County buildings providing high levels of security to already existing systems controlled at four locations. These locations include the Alachua County Sheriff’s Office, Alachua County Jail, Alachua County Criminal Courthouse and the County’s Facilities Office. Since that time, the County has increased the demands for adding additional security systems. These increases were caused primarily by various expansions, renovations and the addition of new buildings.
The current security software system supporting the existing Lenel Software System expired in early 2020. W.W. Gay Fire & Integrated Systems, Inc., the original installer and current maintenance provider for the system provided this upgrade.
This purchase is exempt from the County's competitive bidding requirements pursuant to Section 22.3-302 (28) of the Alachua County Procurement Code, Sole Source procurements in accordance with the Procurement Procedures Manual. However, since the dollar amount of the purchase exceeds the purchasing authority of the Procurement Manager, this Purchase Order is being submitted for Board consideration and approval.
