Background:
Back in December 2020, the Board approved a new agreement for contractual Services with Brooks Building Solutions to maintain controls systems in County Buildings.
The contract is a Full Coverage Maintenance Service Agreement of Mechanical System and Alerton Building Automation System for the Correctional Facility, Full Coverage Maintenance of the Daikin/McQuay at the County Administration Building; and Full Coverage Maintenance of HVAC Control Systems in the Alachua County Administration Building, Alachua County Jail, CCC, Civil and Criminal Courthouses, Josiah T. Walls, State Attorney’s, Records Retention, Public Defenders, and Sheriff’s Headquarters buildings.
In December 2021, the County opened the new Equestrian and Agricultural Center in Newberry, Florida. During the construction of the building, the County installed a new Heating Ventilation and Air Conditioning System (HVAC). In order for the County to operate these HVAC units in an efficient and effective manner, the controls supporting these systems must also be maintained. The County already has an agreement with Brooks, staff is requesting the Board to amend this agreement adding these two new facilities to Brooks Building Solutions agreement. The new equipment installed at these buildings are covered under warranty but will still require the basic services/preventive maintenance in order to maintain the warranty. This amendment will add this location to the already existing agreement.
This purchase is exempt from the County's competitive bidding requirements pursuant to Section 22.3-302 (28) of the Alachua County Procurement Code, Sole Source procurements in accordance with the Procurement Procedures Manual. However, since the dollar amount of the purchase exceeds the purchasing authority of the Procurement Manager, this Purchase Order is being submitted for Board consideration and approval.
