Background:

Alachua County issued an Invitation to Bid #20-18 for Annual Heavy Equipment HVAC Basic Coverage Services. Siemens Industry, Inc. was the lowest and most responsive bidder.

October 27, 2021 the new Agriculture Center Office and Auditorium began the transition from Construction to Operations. Around the beginning of November 2021, Alachua County Maintenance Staff and Siemens inspected and inventoried the HVAC equipment at the new Agriculture Center and Siemens provided the proposal on November 15, 2021. The new equipment installed at these buildings are covered under warranty but will still require the basic coverage services/preventive maintenance in order to maintain the warranty. This amendment will add this location to the existing agreement at an annual cost of $14,772.00.

CareerSource occupies leased space at 1112 North Main Street, Gainesville, FL 32601. The lease requires for the occupants (the County) to provide a maintenance contract for the HVAC system. This will cover basic preventative maintenance services, coil cleaning, and filter changes at an annual cost of $4,557.00.

According to the terms and conditions in the agreement between Alachua County and Siemens, any major equipment or systems replacements will be estimated and billed separately. The increases to the maintenance costs will be offset by the reduction to the repair costs. The total amount of the contract will remain the same.
